🏡 Getting Started
Creating an apiary and adding your first hives.
How do I create an apiary?
- Tap the apiary selector on the home screen.
- From the menu, tap "Add New Apiary".
- Enter a name in the Apiary Name field (e.g. "Main Apiary").
- Optionally mark the apiary's location.
- Tap Save to create your apiary.
The free version limits the number of apiaries; check out Premium for unlimited apiaries.
💡 Tip: If you work by region or producer, opening a separate apiary per region makes your reports clearer.
How do I add a hive?
- Open the apiary you want to add hives to.
- Tap "Add New Hive".
- Enter a hive name/number (e.g. "Hive No. 1").
- Choose the hive category: Honey hive or Queen rearing hive.
- Choose the hive type: Empty hive (new, layers/frames added manually) or Ready hive (with existing layer info).
- Optionally enter breed and barcode information.
- Tap Save to add the hive to the apiary.
The free version limits the number of hives per apiary; check out Premium for unlimited hives.
How do I add or remove a layer on a hive?
Open the "Hive Layers" section on the hive detail screen. From there you can add a new layer, remove an existing one, and update the frame count for each layer. The layer count updates automatically on the hive card and in reports.
What do hive statuses (active / inactive / attention) mean?
Every hive has a status: Active (normal operation), Attention (a warning from the last inspection — e.g. queen not spotted), or Inactive (not in production, kept in the "Inactive Hives" list). You can change the status from Hive Settings and reactivate an inactive hive at any time.
How do I lay out hives within an apiary?
From the Hive Layout screen you can drag the hives in your apiary onto a grid that mirrors your real field arrangement. This makes it easier to find hives on-site and check them while counting.
📋 Maintenance Records
Logging inspection, treatment and feeding records.
How do I log hive maintenance?
- Open the hive card or its detail screen and tap "Add Record".
- Choose Maintenance as the Record Type.
- Mark whether "the queen was spotted" — if not, the hive can automatically move to "Attention" status.
- If you observed disease/varroa, add it to your note, and take a photo if you'd like.
- You can also record a voice note instead of typing — handy when your hands are full in the field.
- Check the date and tap Save.
You can view all your maintenance records on the hive detail screen and by date in the Calendar view.
How do I log a treatment record?
On the add-record screen, choose Treatment as the Record Type. Enter the medication/product type you used, the dosage, and any notes, then save. You can view past treatments in date order from the hive detail screen — ideal for tracking when the same treatment is due again.
How do I log a feeding record?
On the add-record screen, choose Feeding as the Record Type, enter the feeding amount (L), add a note and save. You can look back over the season to see how much syrup/feed you gave each hive.
🍯 Harvest & Production
Harvest records, honey types and production reports.
How do I log a harvest record?
On the add-record screen, choose the harvest type: Honey, Propolis, Pollen or Royal Jelly. For a honey harvest, also specify which Honey Type you collected. The harvest amounts you enter automatically flow into the Production Report, by apiary and by period.
How do I add a new honey type?
From Settings > Honey Types, tap "+" to add a new honey type (e.g. blossom honey, chestnut honey, pine honey). If a type with the same name already exists, the app will let you know.
Where can I see production reports?
In the Reports section, you can view honey/propolis/pollen/royal jelly production totals filtered by apiary and date range. These reports are calculated automatically from your harvest records — no manual data entry needed.
👑 Queen Management
Adding queens, hive assignment and status tracking.
How do I add a new queen?
- From the Queens screen, tap "+" to add a new queen.
- Enter a queen code and her Breed.
- Specify her origin: raised by you, or purchased.
- Optionally assign her directly to a hive.
How do I assign a queen to a hive?
In the queen's detail screen, choose a hive under "Hive assignment". The queen then appears on that hive's card; maintenance records from then on are tied to this hive. When you change hives, past assignments are kept as a genealogy, so you can look back and see which queen was in which hives.
What do queen statuses mean?
A queen's status can be one of: Cell, Virgin, Mated, Laying, Sold, Dead/Lost, Replaced. You can update the status and add performance notes from the queen's detail screen.
How do I track queens I've sold?
When you set a queen to Sold status, you can enter sale details such as buyer, date and note. Sold queens can be filtered separately in the queens list.
🔢 Hive Count
Field counts, barcode search and duplicate alerts.
How do I run a hive count?
- Open the Hive Count screen and start a new count session.
- As you walk the field, mark each hive by scanning its barcode or searching by name.
- If you mark a hive twice, the app shows a duplicate-scan alert.
- When the count is done, check the summary list showing which hives weren't counted.
This feature especially speeds up field checks in apiaries with many hives, and helps you spot lost/missing hives early.
🔖 Plate Management
Adding official registration numbers and assigning them to hives.
What is a "plate" and what is it for?
A "plate" is the official registration/plate number your local agricultural authority assigns to your hives under its bee registration system. In Kovan IQ you can bulk-enter these plate numbers in advance and assign them to hives when adding or editing them — so you always know which official plate is on which hive.
How do I add a plate?
- Open Plate Management and tap "Add Plate".
- Paste or type the plate numbers you received from the authority into the Plate numbers field, one per line — or scan them in.
- When you save, you'll see how many plates were added; if a plate already exists in the list, the app flags it and won't add it again.
💡 Tip: You can paste all your plate numbers in bulk at the start of the season, no need to enter them one by one.
How do I assign a plate to a hive?
When adding a hive, or editing it from hive settings, use the "Select Plate" step to search and pick an available plate from the list. Plate assignment is optional — you can skip this step and save the hive without a plate, and assign one later.
How do I edit or delete a plate?
In the Plate Management list, tap a plate to edit its number or delete it. Plates assigned to a hive show as "Active • [hive name]"; if the hive becomes inactive, the plate is marked "Inactive • [hive name] (hive inactive)", and you can reassign it to another hive whenever you like.
🔔 Tasks & Reminders
Creating and managing maintenance reminders.
How do I create a reminder?
From the Tasks screen, tap "+" to create a new task/reminder; pick a date and, optionally, a related hive. Your device gets a notification at the time you set. You can mark completed tasks as "Done".
💡 If notifications aren't arriving, see "Why aren't notifications showing up?" in Troubleshooting.
💾 Backup
Backing up and restoring your data.
How do I back up my data?
- Go to Settings > Backup.
- Optionally choose a folder where backups will be saved first; if you don't, the backup is saved to the app's internal "backups" folder.
- Tap "Back up now to the selected folder" for an instant backup, or "Back up (share as file or to Drive)" to share the backup directly.
The backup is created as a single ZIP file containing all your tables and saved photos. Automatic backups (nightly, at set intervals) are also available for Premium users.
How do I restore from a backup?
On a new device, or after reinstalling the app, go to Settings > Backup and select a previously saved ZIP file to restore it. Restoring overwrites your current data; if you're not sure, back up your current data first.
⭐ Premium & Limits
Free version limits and Premium benefits.
What's the difference between Premium and the free version?
The free version limits the number of apiaries and hives, and may show a daily ad. With Premium you get:
- Unlimited hives and apiaries
- An ad-free experience
- Automatic backups
You can subscribe to Premium from the relevant section in Settings.
How do I manage or cancel my subscription?
Subscriptions are managed through the store you purchased from: Google Play > Subscriptions on Android, Settings > [Your Name] > Subscriptions on iOS. You can find a direct link to your store subscriptions from within the app.
🛠️ Troubleshooting
Common issues and their fixes.
Why aren't notifications showing up?
Check your operating system's notification permissions: on Android, make sure notifications are enabled in app permissions, and on Android 12+ devices, that "exact alarm" permission has been granted. On iOS, verify notifications are enabled for Kovan IQ under Settings > Notifications.
I can't add a photo, what should I do?
Make sure Kovan IQ has camera and gallery access permission in your device settings. If permission was denied before, you may need to enable it manually from the app's settings.
My data is missing / a record was accidentally deleted — what can I do?
If you have a recent backup, you can restore it from Settings > Backup. If you don't back up regularly, we recommend turning on automatic backup (Premium) or weekly manual backups going forward to reduce the risk of data loss.
